Conference and Event Logistics
DMM Group works with the hotel to ensure hotel room and meeting space allocations and/or concessions are confirmed and upheld in the best interest of the client.
Additional responsibilities include coordination of the following: Meeting/Function Rooms Setup/Flow for all Programming
Registration Area Flow and Safety Requirements
Audio-Visual Equipment and Technology Requirements
Exhibitor and Sponsor Needs (as applicable)
VIP guest speakers Pre-Key/Security Requirements
Staging and Management of Ground Transportation Requirements
F&B Confirmations/Counts/Folio Reports/Audit Room Night Pickups
Communications between Hotel Staff/Vendors

Special Event Planning and Management:
DMM Group provides proactive, knowledgeable planning and management that results in smooth, stress-free implementation.
Evaluate Objectives and Goals of Special Events
Work closely with the client to develop Program Content and Scheduling for each Special Event
Confirm and uphold Venue Requirements
Coordinate and manage Food and Beverage Requirements
Work with Vendors to coordinate and manage Décor, A/V, Staging, Rehearsals (as applicable)
Proactively communicate with and manage the needs of VIP guests and Speakers for their attendance at the Special Events

Special Event Logistics:
DMM Group works closely with the Hotel or Off-Premise Venue(s) to develop and manage proper logistics for all Special Events that adhere to Safety Procedures and the Comfort of each Guest in Attendance.
DMM Group takes logistics very seriously with clear communications between all parties concerned to ensure an enjoyable but safe Event.

Develop Event Flow and Layout
Determine Ground Transportation Vehicle Requirements
Develop and Implement Ground Transportation Logistics and Staging to and from Special Events
Manage Special Event Attendee Registration Database

Overall Meeting Logistics
Vendors: Select, negotiate, contract, manage and reconcile
Venues/Hotels: Meeting Room/Breakout Space Allocation, Guest Room Block (as applicable), Meeting Room/Breakout Setups, A/V space allocation, Food & Beverage Requirements, Transportation, Pre Con Meetings, Event Flow, Registration Area
Staging & A/V Production: Design staging, determine A/V requirements, Emcee & Guest Speaker briefings, staging, technical support, A/V checks, consultations with A/V professionals, pre-meeting videotaping, tape sessions
Work with Hotel/Venue contacts in Dallas to plan all meetings that will take place during the Conference.
Event Décor: Determine ancillary décor and décor placement that will enhance the Conference Theme to visually drive home the Conference theme.

Onsite Management and Program Implementation
Pre-Con meetings with venues and hotel to confirm F&B, timelines, schedules and vendor services
Manage Onsite Logistics and Event Flow and Attendee Safety/Security
Manage all transportation requirements and facilitate vehicle logistics
Décor Setup, Room Setup and Stage and A/V setup
Vendor Setup and Schedule Management
Food & Beverage Setup
Coordinate schedules for presenters
Registration area setup & Management
Collateral materials distribution
Delivery and Setup of Awards for the Banquet
Onsite distribution of promotional items to attendees
Meeting evaluation distribution and collection
Event teardown

Reports, Reconciliation and Evaluation
Reconcile hotel/venue invoices
Reconcile final attendance records
Meet with client team to evaluate program response by Attendees, Speakers and Exhibitors
Engage in post-conference meeting to discuss challenges, opportunities and ideas for the future
